2. COLLECTION OF GENERAL ACCESS INFORMATION

Your personal application data will be deleted automatically three months after the application process has been completed. This is an integrated software solution that we use to cover various aspects of our online marketing. These include

  • Contact management (e.g. user segmentation & CRM)

This information and the content of our website are stored on the servers of our software partner HubSpot. It can be used by us to contact visitors to our website and to determine which of our company's services are of interest to them. All information collected by us is subject to this privacy policy. HubSpot is used for the purpose of inbound marketing. Inbound marketing focuses on the creation of high-quality content for website visitors to greengate.de.

In addition, personal and voluntary information entered in the existing forms - on the website - is recorded in the Hubspot system and assigned to users. Information entered by you (email addresses, telephone number, name and company name) is temporarily stored for the purpose of further processing. Contact and newsletter form from HubSpot

If you use our contact or newsletter form, the data you enter will be forwarded to HubSpot's servers and stored there. During your input, the email address you enter is also sent to HubSpot's servers for validation. This enables us to ensure that the email address you have entered is valid and that you receive our response.

This storage and processing of your data is based on Art. 6 para. 1 sentence 1 lit. f of the GDPR, our legitimate interest in offering an easy-to-use contact form on the website and receiving business enquiries. As the contact form is only intended for business relationships, only general contact information of our contact persons at customers or interested parties is processed. As you provide us with your contact information voluntarily, we assume that you have a reasonable expectation that we will process your data in order to contact you and respond to your enquiry. Web analysis by HubSpot

If you contact us via Facebook, share or comment on our posts, we will receive additional data from you, such as your Facebook account name, the date and time of your post or contact. The other data records or information provided by you depend on the content of the comments or the purpose of your contact.
Data processing by us is also possible if you take part in our competitions. In competitions, the winners are publicly identified by their user name and asked to contact us by direct message within 48 hours. The winners must send us their real names and addresses so that the prizes can be dispatched. This data will be processed by us exclusively for the purpose of organising the competition.

With regard to the processing of personal data via the ‘Insights’ service, there is joint responsibility between us and Facebook, whereby Facebook has assumed primary responsibility for this. Facebook provides the data subjects with the main content of the processing of personal data in the Facebook Insights service.
Further information on this can be found in the Joint Controller Addendum between Facebook Ireland and us. Facebook provides us with anonymised usage statistics for the further development and optimisation of our pages.

The legal basis for the processing of personal data through the provision of the media offer is Art. 6 para. 1 lit f) GDPR. If you comment on our posts or video clips via Instagram, we will receive additional data from you, such as your Instagram account name and the date and time of your post.

The other data records or information provided by you depend on the content of the comments. Insofar as personal data is processed by means of Instagram Insights, this is done on the basis of Art. 6 para. 1 lit f) GDPR. Our interest lies in the needs-based optimisation and continuous improvement of our media offering. If we would like to repost images from users on the Instragram channel, we will first ask you for your consent in accordance with Art. 6 para. 1 lit. f) GDPR. We save the declaration of consent by screenshot and the image as a file with the user's details.

The photos and the declaration of consent will be stored until consent is withdrawn. The data records for the competitions are deleted as soon as the purpose of the storage no longer applies, which is the case when the competition has ended, in addition to accounting retention periods.

We do not pass on any data that we have received from you via Instagram to third parties. With regard to the transfer of data by Instagram, please refer to the links to the privacy policy cited in section 5.1.

6.4 XING

We use the XING social media channel of New Work SE, Dammtorstraße 30, 20354 Hamburg, Germany.

We use XING to communicate with you and other interested parties and to inform you about us and current job vacancies, among other things. 9. LEGAL BASIS FOR PROCESSING

When processing personal data for which we obtain the consent of the data subject, Art. 6 para. 1, sentence 1 a) of the General Data Protection Regulation (GDPR) serves as the legal basis.

When processing personal data that is necessary for the fulfilment of a contract to which the data subject is a party, Art. 6 para. 1, sentence 1 b) (GDPR) serves as the legal basis. This provision also includes processing operations that are necessary for the performance of pre-contractual measures.
Insofar as the processing of personal data is necessary to fulfil a legal obligation to which our company is subject, Art. 6 para. 1, sentence 1 c) (GDPR) serves as the legal basis.
